1.Scope and operator
Ravenfalls operates RavenHub and is responsible for the personal data described here. Ravenfalls is an unincorporated gaming community; references to “we” mean the individuals who administer it.
This Policy covers RavenHub accounts, access checks and logs, roster and wiki content, uploaded media, and AI-assisted imports. It does not govern information you provide directly to Discord or another provider for their own purposes.
2.Information we collect and why
We collect only information needed to operate and protect the service:
- account identifiers and authentication information used to sign you in;
- Discord ID, name, Ravenfalls server nickname, avatar, and membership or role status;
- access decisions, their reason, provider, display name, and timestamp;
- roster data, player records, wiki pages, revisions, attribution names, and uploaded media; and
- screenshots you submit voluntarily for AI-assisted extraction.
We use this information to authenticate users, enforce private access, display community content, provide RavenHub features, and investigate access or administrative events. We do not sell personal data or use it for advertising, marketing, or profiling.
3.Email addresses
Email addresses identify accounts and support credential recovery. RavenHub displays addresses only in masked form, including in administrative screens. Discord access logs do not store an email address, and RavenHub keeps no separate application copy of a Discord member’s address.
The authentication provider must retain the real address in its account system for sign-in and recovery. It is technically accessible to the RavenHub administrator through that provider. We do not claim that this account record is encrypted from or inaccessible to the administrator.
4.Discord membership and role verification
When you enter RavenHub through Discord, we check that you belong to the Ravenfalls server and hold the required role. We retain your server nickname, the result, and the time of the check. Results may be cached briefly and are then checked again. An expired or inconclusive result does not grant access.
5.Logs, sharing, overseas processing, and retention
Administrators can review sign-in decisions and administrative actions for security and accountability. These logs are not used to monitor ordinary member activity.
Data is processed by service providers supporting authentication, database and media storage, hosting, Discord verification, and optional AI imports. Their infrastructure may be outside Singapore. We rely on their contractual and security commitments when personal data is transferred overseas. We may also disclose information where required by law.
Account and authorisation data is retained while the account is active and removed when the account closes. Import screenshots are processed for extraction and are not kept as a separate archive. Security logs are retained for accountability. Wiki pages and revisions may remain as part of the community record with their saved name attribution. Other content remains while RavenHub operates or until an authorised user removes it.
6.Security practices
We use practical safeguards appropriate to a private community service, including:
- invite-only access and Discord membership and role checks;
- role-based permissions for administrative, roster, and wiki actions;
- account-level data access rules and restricted administrative functions;
- private storage for member portraits and wiki media;
- server-side protection of service credentials and encrypted connections in transit;
- masked email display, access logging, and administrator review; and
- managed cloud hosting rather than self-hosted equipment.
No online service can be guaranteed completely secure. We review material issues and address known weaknesses within a reasonable period.
7.Your rights under the PDPA
You may ask for access to personal data we hold about you, request correction of inaccurate data, withdraw consent to further processing, or request account closure. Withdrawal may mean RavenHub can no longer provide access or particular features.
Send requests to proverb88.one@icloud.com. We will respond within a reasonable period and may need to verify your identity. If you are dissatisfied with our response, you may contact Singapore’s Personal Data Protection Commission.
8.Data incidents, children, changes, and contact
We assess suspected data incidents and will notify the Personal Data Protection Commission and affected individuals when required by Singapore law.
RavenHub is intended for community members who meet Discord’s minimum age requirement for their jurisdiction. We do not knowingly collect data from anyone below that age.
We may update this Policy when RavenHub or its data practices change. The current version and effective date appear above. Privacy enquiries, access or correction requests, withdrawals, and complaints should be sent to the Data Protection Contact at proverb88.one@icloud.com.
